The Dominion Reach CRM platform ("we", "our", "us") is committed to protecting the privacy of our customers and their congregations. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our funnel and discipleship platform.
We collect information you provide directly, including: • Account registration details (name, email, church/ministry name) • Payment information (processed securely via our payment processor — we never store card numbers) • Contact and lead data you enter (names, phone, email, interests, notes, tags) • Pipeline stage, activity history, and interaction logs • Prayer requests and prayer statuses • Discipleship journey enrollments and step progress • Small group memberships and volunteer serving schedules • Pastor notes (shared or private) and their authors • Birthday and anniversary dates • Discipleship class content, video links, assignments, quiz questions, and student submissions • Public registration form responses and event details • Post Optimizer inputs (post description, location, platform, uploaded images) and the AI-generated suggestions produced • AI Flyer Studio inputs (event details, prompts, uploaded style references and photos) and the generated flyer designs • QR Code Generator inputs (destination link, color choices, uploaded logo image) and the generated QR images • Prayer testimony text and linked testimony video URLs (YouTube, Vimeo, or direct links) • Event check-in records and kiosk submissions • Meta Pixel IDs you configure for conversion tracking on your public forms • Engagement scoring data derived from activity history • Usage data and platform analytics to improve our service
We use the information we collect to: • Provide, operate, and improve the Dominion Reach platform • Deliver automated follow-ups, discipleship journeys, prayer follow-up emails, and birthday greetings on your behalf • Compute engagement and at-risk indicators to help your team prioritize follow-up • Generate AI-optimized social media content through the Post Optimizer • Process class submissions and registration form responses and route them to your team • Process transactions and send billing-related communications • Send product updates, support messages, and marketing emails (you may opt out at any time) • Comply with legal obligations and resolve disputes
We do not sell your personal data. We may share data with trusted third-party service providers solely to operate the platform — including our payment processor, hosting providers, AI providers for the Post Optimizer and AI Flyer Studio, and email/SMS delivery providers when you use those features. All providers are bound by strict data processing agreements. If you configure a Meta Pixel ID, your public registration form pages will load Meta's tracking pixel in visitors' browsers. This sends limited browsing and conversion data (such as page views and form submissions) to Meta so you can measure ad performance. Visitors' data is governed by Meta's privacy policy. You are responsible for disclosing this tracking on your forms and complying with applicable consent laws.
All contact and lead data you enter into Dominion Reach belongs to you. You are responsible for obtaining appropriate consent from individuals before capturing their information and before sending them messages. We act as a data processor on your behalf for this data.
Some information you store — prayer requests, pastor notes, discipleship details, and personal milestones — may be sensitive or spiritual in nature. You control the visibility of pastor notes (shared with your team or private to the author and admins). We process this data solely to provide the service and do not use sensitive pastoral content for any secondary purpose.
We retain your account and associated data for as long as your account is active or as needed to provide services. Upon account cancellation, you may request deletion of your data within 30 days.
We implement industry-standard security measures including encryption in transit (TLS), encrypted storage, and access controls. Role-based permissions let you limit which team members can view or edit sensitive data. However, no system is 100% secure and we cannot guarantee absolute security.
